Welcome to Vietnamtour.co.za! These terms govern the relationship between Vietnamtour.co.za (referred to as “we,” “our,” or “us”) and customers (referred to as “you” or “clients”).

These terms and conditions govern your use of our website and services. By accessing our site or making a booking, you agree to be legally bound by these terms.

Vietnamtour.co.za reserves the right to amend these terms at any time without prior notice. Any changes will take effect immediately upon posting.

The tour prices on this website are listed as ‘from’ and are subject to currency exchange, availability, seasonal fluctuations, and inflation. Pricing is updated periodically and is included purely as a helpful guide.

Vietnamtour.co.za reserves the right to adjust prices due to changes in exchange rates, taxes, or other factors beyond our control.

Any optional activities or services not included in the itinerary will incur additional costs.

• Booking Confirmation: All bookings are confirmed only upon receipt of the required deposit or full payment, as specified in the itinerary or invoice.
• Deposit Requirements: A deposit starting at 30% of the total tour price (may be higher depending on the selected package) and a 100% payment of the Visa cost and air tickets are required. The remaining balance is due upon arrival in Vietnam in cash or 15 days prior to your departure date by Credit card or Bank transfer.
• Payment Methods: We accept payment via bank transfer, credit card, or other methods specified on our website. Any bank or transaction fees are the responsibility of the client.
• Late Payments: Failure to make timely payments may result in cancellation of your booking, subject to applicable cancellation fees.

For deposit and balance amount

• Online payment gateway (One Pay)

Kindly make deposit/payment (by your International debit card or credit card) via our secured online payment system which protected by SSL Protocol. Your card information will not be stored in our system. We accept Visa Card, Master Card, American Express and JCB Card.

Note: 3% of service fee will be added in the total amount when you settle your deposit or full payment.

• International bank transfers

Suitable bank details are provided upon confirmation by our travel experts.

For balance amount only

• Cash on arrival

It is crucial that the banknotes are in pristine condition, without any signs of being crumpled, crushed, discolored, torn, or having lost corners. We regret to inform you that we cannot accept banknotes that do not meet these criteria.

To ensure a smooth transaction, we kindly request that you withdraw US dollars with series dated above 2012. In the event that you possess banknotes with series prior to 2012, please be aware that a 10% surcharge will be applied to your payment amount, and it will be your responsibility to cover this additional cost.

• POS machine payment

Payment through a POS device (by your International debit card or credit card)

- Please note that this method of payment requires us to convert your USD amount into Vietnam Dong, the exchange rate will be informed to you on spot before charging your cards.

- 3% of service fee will be added in the total amount when you settle your deposit or full payment.

Cancellation by Client:

• Cancellations made 30 days or more before departure: The deposit paid is non-refundable.
• Cancellations made between 15 - 29 days before departure: A cancellation fee of 75% of the total tour price will be applied.
• Cancellations made within 14 days before departure and no-show: No refund.

Cancellation by Us: In the unlikely event that we need to cancel your tour due to unforeseen circumstances, we will offer an alternative tour or a full refund.

Refund Processing: Refunds will be processed within 30 business days. Transaction fees incurred during refunds are non-refundable.

Changes by Us: We reserve the right to alter itineraries, accommodations, or transportation due to unforeseen circumstances (e.g., weather, political unrest). Any changes will be communicated promptly.

Changes by You: Requests for itinerary changes must be made in writing and may be subject to additional charges.

Clients are responsible for ensuring they have valid passports, visas, and other required travel documents.

We are not liable for delays or cancellations resulting from incomplete or invalid travel documents.

In order for us to process your Booking and provide the services to you, we will need to provide your personal information to service providers, as well as customs and immigration authorities. We may also provide your personal information to security and credit-checking organizations. Some of the persons to whom we provide your personal information are located overseas, including in countries that may not provide the same level of protection of personal information as your country. By making a Booking, you give us your consent to use and disclose your personal information in the manner described in this clause.

We may also use your name and guest contact details for marketing purposes unless you tell us that you do not want us to do so. You may do this by contacting your travel consultant.

We strongly recommend that all clients purchase comprehensive travel insurance covering medical emergencies, cancellations, delays, and personal liability.

Vietnamtour.co.za is not responsible for any loss, damage, or expenses arising from inadequate or missing travel insurance coverage.

Clients are responsible for ensuring they are physically fit and capable of participating in the activities outlined in the itinerary.

Clients must disclose any medical conditions or dietary restrictions prior to booking. Failure to disclose relevant information may result in the denial of services without a refund.

We adhere to all local health and safety regulations and advise clients to follow safety guidelines provided by our team and local authorities.

Vietnamtour.co.za acts as an agent for third-party providers (e.g., hotels, airlines and transport operators). We are not liable for any issues arising from their services, including delays, cancellations, or accidents.

We are not responsible for loss, theft, or damage of personal belongings during the trip.

Any claims against Vietnamtour.co.za must be submitted in writing within 15 days of the tour’s conclusion.

Clients are expected to behave respectfully toward fellow travelers, guides, and locals. Disruptive or inappropriate behavior may result in removal from the tour without a refund.

Clients are responsible for any damage caused to property or accommodations during the trip.

If you have a complaint during your trip, please notify your local tour guide or contact us immediately. We will do our best to resolve the issue promptly.

Complaints received after the completion of the trip must be submitted in writing within 15 days.

Vietnamtour.co.za is not liable for cancellations or disruptions caused by events beyond our control, including natural disasters, pandemics, war, or government actions.

In such cases, we will make every effort to reschedule or provide alternative solutions but cannot guarantee refunds.

All content on our website, including text, images, and graphics, is the intellectual property of Vietnamtour.co.za. Unauthorized use or reproduction is prohibited.
